Operator Vehicle Care and Accountability Guidelines Each operator is required to assume the responsibility of proper care and maintenance of all vehicles assigned for their use. Repairs for vehicle damage caused by abuse or carelessness will be billed to the responsible department. Replacement vehicles and their mileage will be charged to the responsible department. Department leadership should inform all their vehicle operators of this policy.
Local Vehicles Fleet operates a full-service maintenance and repair shop located at the Facilities Services South building. Work requests can be submitted by calling 970-491-2515, or by emailing [email protected]. All vehicles should be checked in for routine maintenance as needed. Failure to do so may result in lengthy vehicle repair times and additional cost. Loaner vehicles from CSU Fleet can be arranged.
Authorized 3rd Party Repairs Approval must be authorized by Fleet for any outside maintenance or repair on a university vehicle. Please call 970-491-0175/970-491-0103 to coordinate any 3rd party repair work. We want to assure comprehensive use of the vehicle warranty, available discounts and quality replacement parts; therefore, it may be determined that the vehicle must be returned to Fleet in lieu of 3rd party maintenance and repair. Failure to secure approval for service or repair expenditures may result in charges being billed to the operator’s department.
Tires In an emergency, vehicle tires may be replaced at a factory outlet or tire discount store, provided the same brand, size, style, and quality of tire is available. Please be sure that the information concerning the vehicle appears on the 3rd party’s bill, together with the tire brand, type, size, and vehicle odometer reading at the time. Make sure the entity conducting the work is aware that we are tax exempt. The purchase invoice must be mailed or delivered to Fleet to ensure prompt payment to the tire dealer or associated party.
Battery and Electrical System Before having the battery replaced, please have a service garage determine the cause of the problem. A defective starter or charging system are indications of a defective battery. The vendor supplying the new battery should accept the old battery as trade per Environmental Protection Agency regulations. Please keep any paper work related to the replacement of the vehicle battery.
Exhaust, Suspension, and Shocks The exhaust system, suspension, and shock absorbers should last the life of the vehicle with a proper preventative maintenance program. If a failure of one of these components does occur, follow the steps mentioned above for authorized 3rd party repair. Fleet must approve the above repairs, except in some emergency situations. If repairs are not authorized, the department may not be reimbursed for the cost.
